How to Diagnose Joomla Email Delivery Problems

Separate sending from delivery

Begin with System → Global Configuration → Server → Mail Settings and use Send Test Mail. A successful Joomla test means the application completed its sending attempt without an immediate error; it does not prove the recipient accepted or placed the message in the inbox. Check the destination mailbox, junk folder, quarantine, and provider message trace before deciding where the failure occurred.

Confirm the global mail configuration

Verify the selected mailer, From Email, From Name, and any SMTP settings against the mail provider's current documentation. For SMTP, confirm the exact host, port, transport security, authentication requirement, username, and credential type. Avoid changing several settings at once because doing so makes the original fault harder to identify.

Test the affected Joomla action

After the global test works, reproduce the actual event that is failing, such as registration, password reset, contact submission, or an extension notification. A working global test with a failing application event usually points toward the event's recipients, activation settings, template, plugin, component, or extension-specific logic rather than the transport itself.

Check Mail Templates and recipients

Joomla's Mail Templates system controls built-in messages and can also include templates supplied by extensions. Confirm the relevant template exists, is configured as intended, and uses appropriate placeholders. Verify the target user or contact has the correct email address and that per-template mail options have not redirected or altered expected delivery.

Use logs when the normal error is insufficient

For difficult SMTP failures, Joomla documentation provides a mail-debugging process using restricted debug access, Debug System, detailed error reporting, logging, and the mail log category. Capture the failure, inspect the protected logs, and then restore production debugging settings so diagnostic output is not left enabled.

Investigate the mail provider after submission

If Joomla or the SMTP service reports successful submission but the recipient never receives the message, move beyond Joomla. Review SMTP or provider logs, bounces, suppression lists, sender authorization, SPF, DKIM, DMARC alignment, filtering, reputation, quotas, and recipient-side rules. Joomla cannot force a receiving mail system to deliver an accepted message to an inbox.

Retest one layer at a time

Use a repeatable test recipient and timestamp each test. Change one variable, send again, and record the result. Once delivery works, test the original Joomla workflow as well as Send Test Mail. Document the working provider and transport configuration without storing plaintext credentials in ordinary documentation.
