Use Checkbox and Dropdown Fields

Use Checkbox when a signer must make a simple yes/checked choice, and Dropdown when the signer must select one value from a predefined list. Both are signer-input fields and must be assigned to the correct participant.

Choose the Right Field

  • Checkbox — one binary checked/unchecked choice.
  • Dropdown — one choice from a list you define in the Template.

Configure a Checkbox

  1. Place a Checkbox on the PDF and give it a meaningful label/accessibility name.
  2. Assign it to the signer role that must control it.
  3. Enable Required only when the signer must check the box before completing the Request.
  4. Save and test the Template with a real Request.

A Required Checkbox is considered complete only when it is checked. An optional Checkbox may remain unchecked.

Configure a Dropdown

  1. Place a Dropdown and assign it to the correct signer role.
  2. Open the field properties and enter the options one per line.
  3. Provide at least two non-empty options; QCDS validation blocks a choice field that has fewer than two.
  4. Set Required if the signer must choose a value before completion.
  5. Save, Validate, publish, and test the result.

The signer sees a blank choice followed by the configured options. QCDS only accepts a non-empty submitted value when it matches one of the field's frozen allowed options. A Required Dropdown therefore cannot be completed by leaving the blank choice selected.

What Reaches the Completed PDF

A checked Checkbox is rendered as a check mark inside its authored rectangle. A Dropdown renders the selected option as text. These values are stored with the Request evidence and are not recalculated from a later Template version.

Practical Checks

  • Use labels that make the meaning of a Checkbox unambiguous.
  • Keep Dropdown option wording concise enough to fit the authored field width.
  • Do not change a published Template and expect an already-sent Request to inherit new Dropdown options.
  • Test Required and optional behavior before using the Template with real signers.
