Troubleshoot an Invite That Is Pending Approval, Expired, Cancelled, or Otherwise Unavailable
When a QCFUM Invite Link cannot be completed, start with the record’s status and expiration before changing settings. Different inactive states require different recovery actions, and repeatedly resending or recreating records can hide the real cause.
The current 2.0.4 completion path also rechecks entitlement plus the Invite Pack and User Type Profile, so an old link can become unusable after configuration or tier changes even when the token itself is valid.
Identify the Current State
| What you see | What it means / next check |
|---|---|
| Pending approval | The Invite has not been activated for recipient use. An authorized administrator must approve or reject it. |
| Expired | The expires_at time passed. QCFUM refuses completion and can synchronize the stored status to expired. |
| Cancelled | The invitation was intentionally stopped and is no longer usable. Create a new Invite if access is still needed. |
| Rejected | Approval was denied. Review the policy/configuration before issuing a replacement. |
| Completed | Account setup already succeeded; QCFUM redirects to the configured post-setup destination. |
| Sent / Opened / Resent but failing | Check expiration, latest token, Pack/Profile availability, entitlement, duplicate account identity, and the exact error message. |
Check the Newest Link After a Nudge
A successful manual Nudge/Resend rotates the token. If the recipient opens an older email afterward, that old token will no longer resolve as the active link. Have them use the newest delivered message.
Verify the Pack and Profile Still Work
At completion QCFUM loads the current Invite Pack and User Type Profile using the current feature/tier rules. If either record is unpublished, deleted, or outside the currently usable tier allowance, QCFUM reports that the Invite Link is linked to an unavailable Profile or Pack.
Verify Entitlement and Account Identity
User creation requires an active QCFUM entitlement for the site. Joomla identity checks also reject an email or normalized username that already belongs to another account. Read the returned message before assuming the invitation system is damaged.
Separate Link Availability from Email Delivery
An invitation can be valid in the database even if the recipient never received the email. Check Last Email Sent and Joomla mail transport. A manual Nudge is appropriate only for an active invite; if a Nudge mail attempt fails, QCFUM intentionally keeps the previous link valid.
Use a Controlled Recovery
- Open Manage Invites or Tracker and record the current status, expiration, Pack, Profile, and last-email time.
- Check Approval Queue if the status is Pending.
- Check Pack/Profile publication and current QCFUM Effective tier.
- For active links, confirm the recipient is using the newest email.
- Test Joomla mail separately if delivery is the problem.
- Create a fresh Invite only after you know why the old record is unusable.
