Invite Packs: Build Reusable Invitation Workflows
An Invite Pack is QCFUM’s reusable definition for creating Invite Links. It connects an invitation to a User Type Profile and packages the settings that control how long the link lasts, whether QCFUM emails it, which Email Template is used, what the recipient sees, and whether Pack-based account completion requires approval.
Invite Packs do not create a separate kind of Joomla account. The recipient still becomes a normal Joomla user under the Pack’s Profile rules.
What an Invite Pack Stores
- Title, alias, and administrator description.
- A required User Type Profile.
- Expires after days, with a minimum of 1 day.
- An optional Override: require approval value.
- Send invite email.
- An Email Template key managed through QCFUM Email Templates.
- A recipient-facing Landing message.
- Published state.
Legacy email subject/body columns remain in the database for compatibility, but the current Pack form does not edit them. Current message content belongs in the Email Templates area.
How the Pack Is Used
When a frontend manager creates an Invite Link, QCFUM loads a published Pack within the current tier allowance, then verifies that the Pack’s Profile is also published and available. The invitation row stores both the Pack ID and Profile ID along with a hashed token and calculated expiration timestamp.
If the invitation is allowed immediately and Send invite email is enabled, QCFUM renders the selected Email Template and sends the secure link. The raw invite token is used in the link; QCFUM stores its hash rather than plaintext business metadata.
Pack Limits by Tier
Basic includes one Invite Pack and can edit that included record. Pro includes up to 10 and allows adding/deleting Packs. Max and All Access have no QCFUM Pack count limit. Downgrades preserve extra Packs but lock or exclude them according to the current allowance.
Pack and Profile Must Stay Valid Together
A Pack is only as usable as its Profile. If the Profile is unpublished, deleted, or unavailable on the current tier, creating a new Invite Link from that Pack fails. Existing Invite Link completion also rechecks current Pack/Profile availability.
For Max/All Access Join Codes, QCFUM additionally requires the current Join Code, Pack, and Profile relationship to be valid at use time.
Build Packs Around Real Roles
Create a Pack for a recognizable onboarding purpose—such as “New Volunteer Invite” or “Homeowner Portal Invite”—and pair it with a Profile that assigns only the Joomla groups that role needs. Keep Pack names, landing messages, and Email Templates clear enough that frontend staff can choose correctly without knowing raw group IDs.
