QCMM Meeting Notifications Scheduled Task

Run QCMM Meeting reminders every 15 minutes using confirmed bookings, current Meeting Times, recipient tracking, and duplicate protection.

Purpose and Default Cadence

The QC Memberships & Meetings Meeting Notifications task sends scheduled Meeting reminders. QCMM creates it with a default interval of 15 minutes. Scheduling and its reminder controls require Max / All Access.

Reminder Windows

QCMM supports two reminder windows: the first defaults to 24 hours before the Meeting and the second to 60 minutes before it. Either reminder can be disabled by setting its value to 0. The task looks only at future confirmed bookings that fall inside the largest enabled reminder window.

Current Booking Time Is Authoritative

For every candidate, QCMM reloads the booking context and evaluates its current start_utc. This means a rescheduled booking is evaluated against the current authoritative Meeting Time rather than an obsolete reminder time.

Recipients and Duplicate Protection

A due reminder is attempted for the attendee and assigned Host, with configured Administrator copies handled through the same tracked notification system. Tracking is booking- and event-specific; already-sent or retry-delayed deliveries are skipped rather than duplicated.

Task Results

The task reports how many bookings were checked and how many messages were sent, failed, or skipped. Delivery failures produce a warning result; a lookup/runtime failure produces a failed task result without rewriting the paid booking itself.
