Insert a Canned Response While Working a Ticket

This guide shows selecting a permitted canned response, reviewing/editing the inserted text, and posting it as a public reply or internal note.

Where this fits in QC Support Ticket

The Agent Queue is a frontend support workspace, not a shortcut around permissions. Every ticket action is checked against the Agent’s active QCST record and Department scope on the server, including assignment, replies, status/priority changes, attachments, bulk actions, and advanced ticket operations.

Primary location: QC Support Ticket frontend Agent Queue.

Before you begin

  • Use a normal Frontend Agent account for verification. Testing only as Joomla Super User can hide Department-scope or menu-access problems.

How to do it

  1. Open the ticket reply/note composer.
  2. Choose a canned response that is published and available to the ticket's Department.
  3. Insert it into the composer.
  4. Read and edit the inserted text for this customer; a canned response is a starting point, not an excuse to send irrelevant boilerplate.
  5. Choose Public reply or Internal note as appropriate, then submit and verify the timeline entry.

What insertion should and should not do

A canned response inserts reusable text into the Agent’s response workflow; it does not by itself post the reply. This gives the Agent a chance to personalize the response, remove irrelevant text, add ticket-specific details, and confirm whether the message should be public before submitting it.

Scope check

Department-specific canned responses should only be offered in their intended support context. If a response is unexpectedly missing, check its Published state, Department scope and current effective tier before recreating it.

Verify the result

  • The test Agent can open the Agent Queue and see allowed-Department tickets.
  • The same Agent is denied or does not receive tickets outside the configured Department scope.
