Create or Update an Agent Signature
This article explains the reusable signature record, plan gate, and how the current Agent updates the text used on future public replies.
Where this fits in QC Support Ticket
QCST keeps the customer conversation, private staff notes, and system workflow history distinct. Public replies can be shown to the customer; Pro Internal Notes remain staff-only; system timeline entries document events such as assignment, status, relationship, merge, or split operations.
Primary location: QC Support Ticket Agent Queue ticket detail, with global attachment/settings controls under Settings.
Before you begin
- Confirm the site currently has Pro / Max / All Access effective access before expecting the controls described here. A preserved configuration may still exist after downgrade even when the feature is locked.
How to do it
- Open the current Agent's Signature editor in the frontend Agent Queue preferences/profile area.
- Create or update the signature text and save.
- Compose a test public reply and confirm the current signature is inserted/applied as intended.
- Historical public replies remain historical text and are not rewritten when the signature changes.
Important behavior and limits
- Public replies are customer-visible; Pro Internal Notes remain staff-only. System timeline entries record workflow events separately from the conversation.
- Attachments are stored outside normal public delivery and are streamed only after QCST rechecks ticket authorization.
Signature edits affect future replies only
Updating the saved signature changes what is inserted/applied to future public replies. It does not rewrite historical messages already sent to customers. After saving, compose a controlled reply and inspect the rendered result before relying on the new signature for production conversations.
Verify the result
- The Agent sees the saved signature in the expected reply workflow.
- A new controlled public reply contains the updated signature.
- Earlier ticket replies remain unchanged.
