Organize Canned Responses by Folder and Department

Where this fits in QC Support Ticket

QCST keeps the customer conversation, private staff notes, and system workflow history distinct. Public replies can be shown to the customer; Pro Internal Notes remain staff-only; system timeline entries document events such as assignment, status, relationship, merge, or split operations.

Primary location: Joomla Administrator → Components → QC Support Ticket → Canned Responses, or the Agent Queue when inserting one.

Before you begin

  • Confirm the site currently has Pro / Max / All Access effective access before expecting the controls described here. A preserved configuration may still exist after downgrade even when the feature is locked.

Organization model

  • Use Folder to group responses by purpose such as Billing, Access, Troubleshooting or Closing.
  • Use All Departments for genuinely reusable responses. Scope specialized wording to one Department when other staff should not see/use it.
  • Use ordering to keep common items easy to find.
  • A response must be published and in scope to appear in the Agent composer.

Important behavior and limits

  • Public replies are customer-visible; Pro Internal Notes remain staff-only. System timeline entries record workflow events separately from the conversation.
  • Attachments are stored outside normal public delivery and are streamed only after QCST rechecks ticket authorization.

Folder and Department solve different organization problems

Folder groups canned responses for easier browsing by staff; Department scope controls where a response is appropriate/available. Use folders for topics such as “Billing” or “Troubleshooting” only when that helps Agents find text quickly, and use Department scope when the content genuinely should not be offered to other teams. A Published response still needs the correct scope to appear where expected.

Verify the result

  • The response appears under the intended Folder for eligible Agents.
  • All Departments versus selected-Department scope matches the saved configuration.
  • Unpublishing the response removes it from normal Agent insertion without altering historical replies where its text was already used.
