Reply to a Ticket from the Customer Support Portal

This guide walks through opening the ticket, entering a public reply, adding attachments if needed, posting it, and confirming the timeline/email result.

Where this fits in QC Support Ticket

The Support Portal is ownership-scoped. Registered users work their own tickets; verified guests use a signed, expiring verification/access path for the specific guest ticket. Department choice also controls which scoped Categories and Ticket Fields are offered during intake.

Before you begin

  • Use a normal customer/guest test flow as well as administrator checks so ownership and verification behavior are tested under the same permissions customers use.

How to do it

  1. Open the ticket from My Tickets.
  2. Read the latest public reply/status so your response addresses the current request.
  3. Enter the reply in the customer reply form and attach allowed files if needed.
  4. Submit once and wait for confirmation.
  5. Confirm the new public reply appears in the timeline and, when notifications are enabled/healthy, that the assigned Agent or eligible Department queue receives the expected notification.

Reply workflow

  1. Open Support Portal → My Tickets and select one of the signed-in customer’s active tickets.
  2. Read the most recent public Agent reply and current Status before responding.
  3. Enter the customer reply and add only permitted attachments if needed.
  4. Submit once, then confirm the new public message appears in the conversation with the expected time/author.
  5. If email notification is expected, confirm the eligible Agent/shared-queue recipient path rather than assuming every Agent receives every customer reply.

Visibility rule

Customers can see public replies and their own ticket data. Pro Internal Notes remain staff-only and should never appear in this customer conversation.

Verify the result

  • The new customer message appears once in the public conversation with the correct author/time.
  • Eligible staff see the reply in Agent Queue, and any expected notification can be traced in delivery diagnostics.
